BridgeSource SA operates an online retail store and provides business-to-business product sourcing and procurement services. Our online store is hosted by Shopify.

This policy explains how we collect, use, store, disclose and protect personal information in accordance with the Protection of Personal Information Act 4 of 2013 (“POPIA”) and other applicable South African law.

Personal information we collect

Depending on how you interact with us, we may collect:

  • Your name, telephone number and email address;

  • Billing, delivery and business addresses;

  • Company and contact-person information;

  • Account login details and preferences;

  • Products viewed, ordered, returned or enquired about;

  • Order, payment-confirmation and transaction information;

  • Communications, quotations, procurement instructions and customer-support enquiries;

  • Device, browser, IP address and website-usage information;

  • Marketing preferences and consent records; and

  • Information reasonably required to prevent fraud, fulfil orders or comply with legal obligations.

Where identity, company, customs or regulatory documents are required for a specific procurement service, we will request only the information reasonably necessary for that purpose.

Payment information

Payments may be processed by Shopify and approved third-party payment providers.

BridgeSource SA does not ordinarily receive or store complete payment-card numbers, card security codes or online-banking credentials. Payment providers process this information under their own security and privacy requirements.

We may receive limited payment information such as the customer’s name, payment status, transaction reference, payment method and amount paid.

Customers should not send complete card details, passwords or banking credentials to BridgeSource SA by email, WhatsApp or other unsecured communication channels.

How we collect personal information

We may collect personal information:

  • Directly from you when you place an order, create an account, request a quotation, communicate with us or use our services;

  • Automatically when you access our website, subject to applicable cookie and privacy settings;

  • From Shopify, payment providers, couriers, fulfilment providers and other service providers involved in completing your transaction;

  • From suppliers, business partners or publicly available sources where reasonably necessary for a legitimate business purpose; and

  • Where permitted or required by law.

Why we process personal information

We process personal information where reasonably necessary to:

  • Respond to enquiries and provide quotations;

  • Establish and manage customer or supplier relationships;

  • Process payments and fulfil orders;

  • Arrange production, sourcing, shipping, delivery, returns and refunds;

  • Communicate order and delivery updates;

  • Maintain customer accounts and preferences;

  • Verify transactions and prevent fraud or misuse;

  • Provide customer service and manage complaints;

  • Improve our website, products and services;

  • Send marketing communications where consent has been obtained or where otherwise permitted by law;

  • Maintain accounting, transaction and compliance records;

  • Establish, exercise or defend legal rights; and

Where consent is the basis for processing, you may withdraw that consent at any time. Withdrawal will not affect processing lawfully completed before consent was withdrawn.

Product sourcing and procurement

When BridgeSource SA provides sourcing or procurement services, it may be necessary to share limited customer or business information with manufacturers, suppliers, inspection companies, freight forwarders, customs-clearing agents, couriers or other service providers.

We will only share information reasonably required to obtain a quotation, manufacture or inspect goods, arrange transport, complete delivery or perform the agreed service.

We will not provide suppliers with customers’ complete payment-card or online-banking credentials.

Disclosure of personal information

We may disclose personal information to:

  • Shopify and service providers supporting our online store;

  • Approved payment processors;

  • Couriers, freight forwarders, fulfilment partners and customs-clearing agents;

  • Manufacturers, suppliers and inspection providers involved in an authorised procurement order;

  • Email, cloud-storage, website-hosting, analytics and information-technology providers;

  • Professional advisers, insurers, auditors or accountants;

  • Government authorities, regulators or law-enforcement bodies where legally required; and

  • A purchaser or successor if BridgeSource SA undergoes a legitimate business restructuring or sale.

These parties are required to process information for an authorised purpose and to apply appropriate privacy and security measures where required by law.

BridgeSource SA does not sell personal information as a business activity.

Direct marketing

We may send marketing messages where:

  • You have provided consent;

  • You are an existing customer and the communication concerns our own similar products or services, where permitted by law; or

  • Another lawful basis applies.

Every electronic marketing message will provide a reasonable method to opt out. You may also unsubscribe by contacting info@bridgesourcesa.com.

We may continue sending essential non-marketing communications relating to quotations, orders, payments, deliveries, security or customer service.

Cookies and website information

Our website may use cookies and similar technologies to:

  • Support analytics or advertising where enabled.

International transfers

Shopify, suppliers and other service providers may process personal information outside South Africa.

Where personal information is transferred internationally, BridgeSource SA will take reasonable steps to ensure that the transfer is permitted under POPIA, including by using appropriate contractual protections or transferring information to recipients subject to adequate privacy safeguards.

Information security

BridgeSource SA applies reasonable technical and organisational safeguards designed to protect personal information against:

  • Loss, damage or unauthorised destruction;

  • Unlawful access or use;

  • Unauthorised disclosure; and

  • Accidental alteration.

No internet-based system is completely secure. Customers should use strong passwords and avoid sending sensitive information through unsecured channels.

Where a qualifying security compromise occurs, BridgeSource SA will notify the Information Regulator and affected persons where required by law.

Information retention

We retain personal information only for as long as reasonably necessary to:

  • Complete the purpose for which it was collected;

  • Maintain transaction, accounting and compliance records;

  • Resolve disputes or complaints;

  • Enforce agreements; or

  • Meet legal and regulatory requirements.

Information that is no longer required will be securely deleted, destroyed or de-identified where reasonably practicable.

Children’s information

Our services are not intended for persons under 18 years old, and we do not knowingly collect children’s personal information without appropriate consent or another lawful basis.

A parent or guardian who believes that a child has provided personal information to us may contact our Information Officer.

Your rights

Subject to POPIA and other applicable law, you may request that BridgeSource SA:

  • Confirm whether we hold personal information about you;

  • Provide access to your personal information;

  • Correct or update inaccurate information;

  • Delete or destroy information that we are no longer authorised to retain;

  • Stop or restrict certain processing;

  • Record an objection to processing;

  • Withdraw consent where processing is based on consent; or

  • Stop sending direct-marketing communications.

We may request reasonable proof of identity before processing a request. Certain rights may be limited where retention or processing is required by law or necessary to establish, exercise or defend legal rights.
